Position Summary
The Applications Specialist is responsible for developing and delivering training programs for Practice Management Systems (PMS), including Denticon, Cloud 9, and DSN Cloud, and related ancillary applications across a multi-site Dental Support Organization (DSO). This role ensures that end-users, super-users, and operational leaders are equipped to effectively use technology to improve patient experience, operational efficiency, and revenue cycle performance. Reporting to the Director of Application Management, the Applications Trainer plays a critical role in driving adoption and standardization of workflows.
Responsibilities
Training Development & Delivery
- Design and deliver role-based training programs for PMS and ancillary applications (imaging, patient engagement, clearinghouses, payment systems).
- Create training materials, including SOPs, quick reference guides, videos, and e-learning modules.
- Conduct on-site and virtual training sessions for new implementations, upgrades, and optimization initiatives.
Go-Live & Post-Implementation Support
- Develop, implement, and maintain practice management systems across multiple locations, overseeing key setup functions such as creating and managing user profiles and permissions, updating system configurations, maintaining documents and note macros, and ensuring overall system integrity and regulatory compliance.
- Provide hands-on support during go-lives, ensuring smooth transitions and user confidence.
- Serve as a resource for troubleshooting and reinforcing best practices post-implementation.
Workflow Standardization
- Collaborate with Operations and Clinical teams to ensure training aligns with standardized workflows for scheduling, billing, and clinical documentation.
- Promote adoption of organizational templates, fee schedules, and security protocols.
Change Management & Communication
- Support change management initiatives by communicating system updates and enhancements clearly to end-users.
- Gather feedback from trainees and stakeholders to continuously improve training programs.
Documentation & Knowledge Management
- Maintain an up-to-date knowledge base of training materials and FAQs.
- Ensure documentation reflects current system configurations and organizational standards.
Qualifications
- 3+ years of experience in application training or healthcare IT support, preferably in dental or multi-site environments.
- Hands-on experience with PMS platforms (Denticon, Cloud 9, DSN Cloud) or similar systems.
- Strong understanding of dental operations and revenue cycle workflows.
- Excellent communication, presentation, and instructional design skills.
- Ability to travel extensively for training and go-live support.
- Knowledge of security and compliance standards (HIPAA, SOC 2, HITRUST).
- Detail orientated and comfortable working a fast-paced office environment.
- Excellent oral communication and strong interpersonal skills.
- Desire and ability to learn new skills and be a team player.
- Ability to act with integrity, professionalism, and confidentiality.
